Presentation Timings: The schedule is finalised by Tuesday 19th May 2026, at which point we'll be in touch with your presentation time(s). In the meantime, if you have any specific availability constraints, please flag them as soon as possible so we can take them into account. While we do our best to accommodate, please note that due to the number of concurrent sessions, we may not be able to fulfill all requests.
Presentation Slides: Please send your presentation (PPT/PDF) to presentations@melloevents.com by WeTransfer so it can be pre-loaded onto the laptop in the room. Please save your file under your company name.
Deadline: 12pm, Wednesday 27th May 2026.If you have last-minute updates or are unable to meet the deadline, please bring your presentation on a USB.
Technical Requirements: If your presentation includes any non-standard fonts, audio, or video files, please notify us in advance and ensure your final presentation is submitted by the deadline (12pm, Wednesday 27th May 2026).
Session Format: Each presentation slot is approximately 30 minutes, which should include 5–10 minutes for audience Q&A. You’re welcome to have more than one presenter. There will be a host in the room who will keep the presenters to time and help with any queries.
Equipment Provided: All presentation rooms are equipped with clickers for slide control.
Room Capacity: Presentation rooms accommodate between 30 and 80 attendees.
Presentation Materials: You are not required to bring hard copies of your slides, but you're welcome to do so if you wish.

If you have opted to exhibit, you will be provided with a covered 6 ft x 2 ft table and 2 chairs. There will be space for pop up banners/screens and power can be supplied. Please ensure your stand is fully set up by 8:55am (access is available from 7:30am). Doors will open at 9:00am.
If you have any materials you would like to send to the venue you can send them to Company Name @ Mello, Clayton Hotel Chiswick, 626 Chiswick High Road, London, W4 5RY to arrive no earlier than Monday 1st June 2026.

Upon arrival, please check in at Reception to collect your name badge(s). You will be guided to your stand in the exhibitor area (if applicable) and informed of the room(s) where you will be presenting. Presenters in standard presentation rooms will not require a microphone. Those speaking in the Theatre will be provided with a handheld microphone.
If you have sent any materials in advance, these will be placed on your stand (if applicable) or stored in the dedicated storage room, which we will guide you to upon arrival.
A host will be present in each room to keep sessions running on time and assist with any queries.
If you are running late or need to update us for any reason, please call a member of the team or email info@melloevents.com.

In terms of stand location, your stand will be labelled with your company name - upon arrival one of the team will be able to direct you to your assigned stand. We will be on hand to help with any queries but please do let us know in advance if there is anything in particular we should be aware of regarding your stand and/or materials.

The event runs from 9am to 6pm and most pack away from 5pm.

For return courier, once everything is packed up, please label all parcels clearly and leave them on your stand. The conference centre will store them securely and guide any couriers to the pickup point.

Yes, there are 90 car parking spaces available onsite (underground). Costs are £2.70 per hour & £22.00 per overnight stay per vehicle. Spaces are on a first come basis.

Gunnersbury Station is only 2 minutes walk from the hotel where you will find the District Line together with overground lines towards Central London. Kew Bridge Station is a 10-minute walk from the hotel, bringing you to London Waterloo in less than 30 minutes. Taxis can also be arranged by hotel reception upon request. Bus routes H91, 237, 267 & 391 all depart from outside the hotel towards Hammersmith, Ealing, Richmond, Brentford & Hounslow.
